We are seeking an Assistant Project Manager who is detail-oriented, organized, and collaborative professional to support our sales & operations team on high growth, highly complex key accounts. This position plays a key role in ensuring smooth coordination between Sales, Project Management, and Field Technicians, helping projects move efficiently from quote to closeout while maintaining our standards of precision and customer satisfaction.
***This is an in-office position located in Waltham, MA, with a standard schedule of Monday to Friday, 8am to 5pm.***
In this role you will...
- Create accurate, complete job packets from approved quotes and submittals, including door schedules, hardware sets, and cut sheets.
- Coordinate material orders, ship-to locations, and delivery dates; work with Scheduling to ensure readiness for field installation.
- Maintain up-to-date job data in company systems and share updates with Sales, Project Management, and Field Operations as needed.
- Assist with punch lists, project closeout documentation, O&M manuals, and warranty submissions.
- Participate in recurring team meetings, take clear notes, and distribute action summaries.
- Support multiple projects and stakeholders simultaneously in a fast-paced environment, following all tasks through to completion.
- Work closely with Sales, Project Management, and Technicians to maintain project timelines and ensure high-quality deliverables.
- Utilize Microsoft 365 suite for documentation, analysis, and communication; as well as play an integral part in helping the team upgrade its software stack.

- Proficient in Microsoft Excel (filters, sorting, basic formulas), Word, and OneNote; comfortable with emerging technologies such as Copilot.
- Excellent organizational and problem-solving skills with the ability to manage multiple priorities.
- Team-oriented mindset and willingness to learn from and collaborate with diverse departments.
- Must have a valid driver’s license and reliable vehicle. *This role may involve up to 30% local travel - mileage reimbursement would be provided.
- Must be able to pass a standard background and security screening.
