Safe Software is looking for an Order Processing Coordinator to join our dedicated Order Management team for a 12-month temporary contract.
As an Order Processing Coordinator, you will ensure accurate and timely processing of customer orders, manage updates in customer portals and tax systems, and help streamline workflows to enhance efficiency and customer satisfaction. About The Team
The Order Management team at Safe Software is responsible for overseeing the sales processing workflow, ensuring invoices and payments from customers and partners are managed efficiently and effectively. This team plays a key role in ensuring accurate order processing, timely collections, and seamless collaboration with internal stakeholders like Sales, Finance, and Legal.
What You’ll Be Doing
As an Order Processing Coordinator, you will:
- Review incoming orders for accuracy and completeness.
- Input and maintain orders in Safe’s CRM system.
- Verify product, subscription terms, and pricing details to ensure correct billing.
- Work closely with Sales, Legal, and Finance to resolve order discrepancies and obtain missing information.
- Log all interactions and order details in the CRM.
- Identify opportunities for workflow improvements, including automation and better cross-team collaboration.
Qualifications, Skills, and Competencies
Safers come from a variety of backgrounds with a diversity in skills and knowledge. That said, we find that those who are most successful in this role have experience with the following areas.
Required skills:
- 2-3 years of experience in order processing, billing, or operations.
- Proficiency in CRM systems (e.g. HubSpot, Salesforce) and order management platforms.
- Experience with office applications (e.g. Google Suite).
- Basic understanding of financial concepts (e.g. invoicing, credit terms).
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- Attention to detail and a high level of accuracy.
- Ability to work independently and collaboratively within a team.
- Strong problem-solving skills and ability to handle multiple tasks simultaneously.
Desired skills / Bonus points:
- Experience identifying and implementing process improvements.
- Proactive and willing to take initiative.
- Quick to identify discrepancies or issues and propose workable solutions.
